This policy explains what information we use, why we need it, who may receive it and how you can exercise your rights. It is a notice about our handling of information, not a waiver of your rights or a substitute for any consent required by law.
Who we are & scope
Hangzhou Hongkun Import & Export Co., Ltd. is responsible for the personal information processing described here. Hongkun Chemicals is our chemicals division and brand, not a separate legal entity. This policy covers our website, inquiry and supplier forms, and related business communications, including email and WhatsApp.
It applies to visitors and individuals acting for customers, suppliers and business partners. Business contact details can be personal information even when used in a professional capacity. Separate agreements may govern confidential business documents, without reducing statutory personal information rights.
Information we collect
- Contact and business details: your name, company, role, email, telephone, country and delivery or business address, where supplied.
- Requests and documents: product identity or CAS number, specifications, quantities, destination, intended use, supplier capabilities, certifications and attachments you choose to provide.
- Business records: correspondence, quotations, order and shipping information, and invoice or payment references where relevant to a transaction. Website inquiry forms do not request payment card details.
- Technical information: hosting and security services may process IP addresses, browser and request details. Optional analytics and inquiry source information are explained in section 6.
Required fields are marked in the relevant form. Without those details we may be unable to answer or assess your request; optional fields can be left blank. Do not submit identity documents, financial account details, health data or other sensitive personal information through general inquiry fields. If a specific transaction needs sensitive information, we must first explain the need, safeguards and applicable consent requirements.
We may also receive business contact or qualification information from your colleagues, referrals and public business sources, within a lawful and reasonable scope. If you submit another person's details, ensure you are authorized to do so and make this policy available to them.
Purposes & legal grounds
We use relevant information to respond to requests, assess supplier qualifications, prepare quotations, coordinate samples, documentation and shipments, manage business relationships, protect the website and meet recordkeeping and legal obligations.
Each activity must have a basis recognized by the law that applies to it. Under Chinese law, this may include informed consent, necessity for entering into or performing a contract to which the individual is a party, or compliance with statutory duties. A contract with your employer does not automatically make you a party to that contract. Where another law applies, any reliance on legitimate interests requires that law to permit it and an assessment of the individual's rights.
Optional analytics relies on your choice. We will obtain a new or separate consent where required for a changed purpose, sensitive information, disclosure or overseas transfer. Reading this policy or continuing to browse does not by itself give consent to all processing.
Internal systems & human review
Internal business systems, including ChemsFlow where used, support organization of inquiries, supplier records, quotations and documents. Relevant personnel review sourcing, quality, commercial and logistics information before communicating recommendations. A system-generated comparison is not a binding supplier approval, product guarantee or order acceptance.
If personal information is used for automated decision-making with a significant effect on an individual's rights, applicable transparency, explanation and objection requirements must be met. You may contact us to ask how your information was used or request human review where the law provides that right.
Retention & deletion
Personal information must be kept for the shortest period necessary for its stated purpose, unless a longer period is required by law. Relevant factors include whether an inquiry remains active, the duration of a supplier or customer relationship, and accounting, tax, customs or legal-claim requirements. There is no single retention period for all business records.
When the purpose is fulfilled, retention expires or another legal deletion condition applies, information must be deleted or anonymized. Where law requires continued retention or immediate deletion is technically difficult, processing must be limited to storage and necessary protection as required by law. Contact us for the retention basis for a particular record or to request deletion.
Security & incident response
Safeguards must be appropriate to the information and risks, including limiting access to authorized personnel and protecting transmission and stored records. No online system is completely secure. If a personal information incident occurs or is suspected, we must take remedial measures and notify competent authorities and affected individuals where required by applicable law.
Please report suspected exposure or misuse to the contact in section 15. Avoid including passwords, full identity documents or unnecessary sensitive information in your report.
International processing
Our company operates in China and communicates with overseas customers and partners. Website infrastructure, optional Google Analytics, email or messaging services may involve processing outside your country, where protections may differ.
An overseas transfer must meet applicable legal conditions. Where Chinese law requires it, this includes advance disclosure of the overseas recipient, contact details, purposes, methods, information categories and rights procedures; separate consent; and an applicable assessment, certification, standard contract or other lawful transfer mechanism. Any exemption must be assessed under the rules in force. Where other laws apply, their transfer safeguards must also be satisfied.
This general policy does not replace transfer-specific notices or consents. Contact us for information about the recipient and safeguards relevant to your interaction.
Your rights & requests
Subject to applicable law, you may request access or a copy, correction or completion, deletion, an explanation of processing rules, and restriction or refusal of processing. Where available, you may request portability or object to processing. You may withdraw consent for consent-based processing; withdrawal does not affect the lawfulness of earlier processing.
Email info@hongkunchems.com with the subject “Privacy request”, describe your interaction and the action requested. We may request proportionate information to verify your identity or an agent's authority. We will respond within the period required by the law applicable to your request, explain any lawful refusal or limitation, and provide available complaint or review routes. You may also complain to the competent personal information protection authority or seek a judicial remedy.
Marketing choices
Non-essential product or company updates must comply with applicable marketing and consent rules. You can object or withdraw consent by replying to a message or emailing us. Opting out of marketing does not prevent necessary replies to your request, safety notices or communications about an existing transaction. Inquiry submission is not blanket consent to unrelated marketing.
External services
External websites and services such as WhatsApp have their own privacy terms. Opening a link or contacting us through those services may disclose technical or account details to the provider. Review their terms before sharing information. Our responsibilities for processing that we control remain applicable.
Children & sensitive information
This website is intended for professional business users and is not directed to children. Do not submit children's information in business forms. If information about a child, including a child under 14 under Chinese law, is identified, we will assess and take the steps required by law, including deletion or obtaining legally required guardian consent and special protection where appropriate.
Policy updates
Updates will be posted here with a revised date. Material changes to processing purposes, methods or information categories require appropriate notice and renewed consent where the law requires it. Updates do not retrospectively authorize new uses of information or remove existing rights.
